Frequently asked questions
The short answers. The full manual with pictures lives inside the app — Help in the sidebar.
Before you buy
›What does it cost?
One flat price — no per-user fees, no add-on charges for texting or route optimization. Your whole crew is included. See the pricing section on the home page for the current number.
›Is there a trial or demo?
Yes. The home page has a live demo — a pretend company (Evergreen Lawn & Snow Care) loaded with real-looking routes, customers, and invoices so you can click through everything before you buy.
›Do I have to sign a contract?
No. It's a subscription you can cancel anytime, or a one-time license for the standalone version.
›Does it work without internet?
The crew app does — it's built offline-first. Crews see their whole day, take photos, and mark stops done with zero signal; everything syncs when they're back in coverage. The office side needs a connection (or your office network, for the standalone version).
›Can I move my data out of Service Autopilot / Jobber / a spreadsheet?
Yes — the Import screen reads CSV files, and the Settings page walks you through it. Your clients, properties, and price lists all come over.
›Does it work with QuickBooks?
Yes — QuickBooks Online connects directly, and QuickBooks Desktop gets an .iif export file it can import. Both are in Settings.
Getting started
›What happens the first time I open the app?
A setup wizard walks you through it: company name, your owner login, then it offers to load a practice company so you're not staring at empty screens. Clear it all from Settings when you're ready for real data.
›How do my crew members get the app?
Open Employees, create the person, and tap the crew-app install link — it installs on any phone like an app, straight from your server. No app store, no accounts to buy.
›How do customers get quotes and approve work?
Every company gets a public quote link (/quote/yourcompany) — paste it on your website, Facebook, or door hangers. Requests land in Leads. Estimates go to the customer's portal where they sign and approve online.
›How do I set my prices?
Two ways: a flat default price per service, or a rate matrix — price by lot size (5–10k sq ft = $55, and so on). Measure lots right on the satellite map from the client’s page. Want the market baseline first? Try the free mowing price calculator — real prices by ZIP code.
Everyday use
›It rained all day. How do I move everything?
Dispatch → Move day. One click moves every unworked stop to a new date, can shift the customers' future visits too, and can email every affected customer automatically. A rain-risk banner on the board warns you before the day arrives.
›How do I know which route is cheapest to run?
The dispatch Map view shows stops-per-mile and dollars-per-mile per crew. 'Sort by drive order' reorders stops shortest-drive-first.
›A customer says we never showed up. What do I do?
Open the completed stop → Proof. You get timestamps, GPS, site weather, and the crew's photos. Hit 'Copy customer link' or 'Email to customer' and send them the branded record.
›How do I get paid faster?
Three ways, all built in: batch-mark payments on the Payments screen, save a customer's card for autopay (Settings → Payments), and let the past-due reminder emails chase invoices for you.
›How do I know my prices are right?
Measure a lawn on the satellite map (client page → Measure lot), set rate tiers on the Services screen, and every estimate prices itself. Reports show dollars-per-hour by crew so you can see which work actually pays.
›Can I print a route sheet for the truck?
Yes — Dispatch → Print route sheet. Every crew, every stop, numbered in order, with addresses and notes.
The crew app
›Does the crew app work where there's no cell signal?
Yes — that's the point. The day's stops are on the phone before they leave. Everything they tap queues up and syncs automatically when signal comes back.
›Can I see where my crew is?
Yes — the dispatch board shows each crew's last-seen location during the workday.
›Can crews clock in from home?
Only if you allow it. Set a geofence around your yard in Settings and the clock only works inside it.
›Can I hide prices from the crew?
Yes — Settings has a 'crews see the work, not the prices' toggle.
›My crew member lost their phone / got a new one.
Send them the install link again from Employees — it installs fresh and signs them in. No data lives only on the old phone; everything syncs to the office.
Troubleshooting
›The app won't open / shows a blank screen.
Close it fully and reopen. Still stuck? Reboot the computer once — that restarts the app's local service.
›A crew member can't sign in.
Check Employees — make sure they have an app login created and the password was shared correctly. Crew accounts only open the field app, not the office screens.
›My customer says they never got the email/text.
Check Comms — every message shows whether it sent or failed. Email needs a working address on the client card; text messaging needs Twilio connected in Settings.
›Something's missing — a client or job disappeared.
Check Trash (in the sidebar). Deleting in Lawn Service IQ parks records in Trash first — restore them there.
